Terms and Conditions for Booking

1. Payment Method:

We undertake to process payment for the contracted services using the following terms:

• Advance Payment: A 30% deposit of the total trip price is required within 48 hours of service confirmation by the Client. The remaining balance must be paid 30 days before the trip start date.

• Payment Receipt: The purchase is considered complete once we receive proof of payment in our bank account. Until payment is confirmed, the reservation may be canceled by EPIC TRIP ASIA.

• Bank Charges: The Client is responsible for any bank charges associated with payments or transfers. The full trip price must be received in our bank account.

• Credit Card Payments: A 3% surcharge will be applied to the total trip price for credit card transactions, covering bank charges.

• Final Confirmation: Once full payment is received, we will send the final confirmation of all services by email.

2. Cancellation and Compensation Policy:

The Client may cancel the contracted services by sending written notice via email to EPIC TRIP ASIA. Cancellations made by phone will not be accepted. The Client will compensate EPIC TRIP ASIA as follows:

• Administrative and cancellation fees, if applicable.
• 10% penalty of the total trip price if cancellation occurs between 15 and 30 days before the start of the trip.
• 50% penalty if cancellation occurs between 7 and 14 days before departure.
• 100% penalty if cancellation occurs less than 7 days before departure.
• No show: 100% penalty.

Please note that some providers (hotels, cruises, etc.) may have different cancellation policies from ours. If so, we will inform you accordingly, and the applicable terms of both contracts must be followed.

3. Cancellation of Extra Services:

For additional hotel nights or extra services booked along with the tour programs, the following cancellation terms apply:

• More than 30 days before the service: Full refund.
• 15 to 30 days in advance: 50% refund.
• Less than 15 days in advance: No refund (100% charge).

4. Modifications Policy

The Client may request modifications to the booking by sending written notice via email to EPIC TRIP ASIA. Modifications made by phone will not be accepted. Please note that modifications are subject to availability and may incur additional charges. The following conditions apply:

• Modification Requests: Modifications should be requested at least 30 days before the tour start date to allow sufficient time for adjustments. Requests made within 30 days may not be accommodated.
• Changes in Dates: Date changes are subject to availability and may incur fees depending on the timing of the request. If a new date is requested within 15 to 30 days before the tour, a fee of 10% of the total tour price will apply.
• Changes in Number of Travelers: Adjustments to the number of travelers should be requested at least 15 days in advance. Reducing the number of travelers may be treated as a partial cancellation, and cancellation fees may apply according to the cancellation policy.
• Modifications to Services: Requests for additional services (such as upgraded accommodations or extra activities) may be accommodated, but any price difference must be paid in full at the time of modification. Downgrades or reductions in services may not result in a refund.
• Provider Policies: Some services (hotels, flights, cruises, etc.) may have specific modification restrictions. EPIC TRIP ASIA will inform the Client of any additional terms that apply. Modifications must comply with the terms of both EPIC TRIP ASIA and the third-party provider.

Please note that all modification requests are subject to EPIC TRIP ASIA's approval, and availability cannot be guaranteed for requests made within 15 days of the tour start date.
